[MEI-L] Report from the MEI Members Meeting 2014

Dear MEI-L,
in order to keep everyone informed, here is my short personal report 
form the MEI Members Meeting 2014 held at the Music Encoding conference 
2014 (#MEC2014).

The Members Meeting was set to be open to the public, and approximately 
35 people were attending the session. Two topics were addressed during 
the meeting:

1) The regularity of the Music Encoding Conference

The intention behind this topic was to evaluate general feelings on 
whether an annual conference would be too ambitious for a community as 
young as MEI. A bi-annual conference was proposed as alternative.
Ideas were put forward to align the Music Encoding Conference with other 
events or conferences, that a bi-annual conference might result in 
higher numbers of attendees and that both these ideas could be suitable 
for potentially limited travel funds of individuals.
Nevertheless bi-annual conferences might also prevent submissions as 
individual researchers or research projects might be in a state not 
ready for public discussion or already finished before the next conference.
With general consensus that the Music Encoding Conference 2014 was a 
great success, even exceeding expectations, the plenum agreed that an 
annual conference would be preferable. Individual attendees even 
announced their willingness to serve as local organizers resp. hosting 
future conferences.
Other events or conferences were nevertheless deemed good opportunities 
for meetings, workshops or hack days.
It was deemed essential, that future conferences should be planned with 
a sound look ahead considering potential collisions with other events 
and for the sake of a sound preroll for contributors and organizers.

2) Future Community Organization

Discussion about the future organization of the MEI community consumed 
most of the time available for the Members Meeting and resulted in a 
very productive discussion and outcome. The plenum agreed on a 
provisional model based on the recent discussions on MEI-L and came up 
with a revision procedure for broader community feedback on the model. 
The model and details about the review procedure have been described and 
put together be members of the MEI Strategy Development Group and the 
Interim Steering Group during the past days.
The document will be made publicly available in a separate E-Mail.
