Dear Micky,

Thank you very much for your email. Regarding our conversation please 
note the following

 From our previous conversation on WhatsApp you indicated that the ASV 
could fund an African Night up to a cost of 900 euros. You also 
indicated that we should keep you in the loop about any costs we intend 
to incur. I am hereby officially writing this email so that we can have 
clarity going forward.
1. I ordered 80 meals from the university caterers (vegan) as per your 
suggestion to increase the numbers from 50 to 80.
2. We are currently in discussion with a second caterer who can provide 
non-vegan meals to a cost of 400 euro. This is because as I earlier 
indicated, most african meals are meat dishes. She has also been 
requested to prepare food for 80 people. However, I have just 
communicated with her and asked her to hold off from preparing anything 
until we get final confirmation from the university caterers about 
whether they can provide 80 portions.
3. We would still need to order drinks for the night. I have sent you an 
enquiry asking about how to proceed with that.
4. Given that you initially indicated that the event would be covered to 
the cost of 900 euro, we were working on the understanding that the cost 
of entry would be free. If you do decide to charge a cover charge, that 
might affect the numbers and I am not sure that you will be able to 
recoup your costs. Moreover, this is very short notice and I just don't 
know if people will be able to attend.
5. You indicated making a donation of some sort. Does this have to do 
with the Weihnachtswunder? Where would the money come from exactly? What 
would it be for? Please advise at the earliest possible opportunity 
because as it is, I don't see where the money would come from.

your position on the matter as well. We appreciate all the work you do 
and would hope that in future communication can be clearer so as to 
avoid misunderstandings and so that we can continue to work well 
together.
